“Our planner gave us a timeline — does this actually work?”


The honest answer? Some timelines look great on paper but don’t always reflect how a wedding day truly flows.From a venue’s perspective, a realistic timeline isn’t about rushing moments or packing in every tradition — it’s about creating space so the day feels calm, intentional, and enjoyable.


Here’s what a realistic wedding day timeline often looks like, based on what we see work best.

9:00–10:00 AM | Venue Access & Setup Begins


This is when your vendor team starts arriving — rentals, florals, décor, and coordination. Even if your ceremony isn’t until the evening, early access is key for a smooth day.


From a venue standpoint, this window allows:

  • Proper setup without rushing

  • Time for décor adjustments

  • Flexibility if something runs late (because something always does)


A relaxed morning sets the tone for everything that follows.

9:30 AM–12:00 PM | Getting Ready Begins

Hair and makeup typically start mid-morning, especially for larger wedding parties. We always recommend getting ready on-site in our dressing suites — it minimizes travel stress and keeps everyone on the same timeline.


Pro tip from the venue side: build in buffer time here. Hair and makeup almost always run longer than expected, and that’s okay when your schedule allows for it.

12:00–1:00 PM | Details & Flat-Lay Photos


While you’re getting ready, your photographer is usually capturing detail shots — attire, rings, invitations, florals, and personal items.


Having these items organized ahead of time helps this portion run smoothly and prevents last-minute scrambling.

1:00–2:30 PM | Final Touches & Portrait Prep


This window is ideal for:

  • Getting dressed

  • First looks (if you’re doing one)

  • Wedding party portraits

  • Immediate family photos


From experience, this is where timelines often feel tight. Allowing enough time here means you won’t feel rushed — and your photos will reflect that.

3:00–3:30 PM | Ceremony Setup & Guest Arrival


While guests begin arriving, your ceremony space is fully set and finalized. Music is playing, programs are placed, and everything feels intentional.


As a venue, this is one of our favorite moments — it’s when all the planning starts to come together.

3:30–4:00 PM | Ceremony


Most ceremonies fall within this time frame. Short and meaningful tends to work beautifully.


Remember: ceremonies don’t need to be long to be impactful. A well-paced ceremony leaves guests engaged and sets a positive tone for the rest of the evening.

4:00–5:00 PM | Cocktail Hour


This hour serves multiple purposes:

  • Guests enjoy refreshments

  • Couples take additional portraits

  • The venue transitions spaces for the reception


From our perspective, a true hour here is essential. It allows everything to happen without overlap or stress.

5:00–5:30 PM | Reception Grand Entrance & First Dance


Guests are seated, energy is high, and the celebration officially begins. Whether you choose a grand entrance, first dance, or welcome toast, this moment sets the mood for the night.

5:30–6:30 PM | Dinner Service


Dinner typically begins shortly after the entrance. Toasts and speeches are often spread throughout this time to keep the flow moving and guests engaged.


From a venue standpoint, spacing toasts and speeches thoughtfully prevents the reception/dinner from feeling drawn out.

6:30–9:30 PM | Dancing & Open Celebration


This is where timelines should loosen up. Dancing, mingling, desserts, and spontaneous moments happen naturally when there’s breathing room.


Some of the most memorable moments we see happen when the schedule isn’t packed too tightly.

9:30–10:00 PM | Final Moments & Send-Off


Whether it’s a private last dance, sparkler exit, or quiet goodbye, the end of the night deserves intention too.


As a venue, we always encourage couples to slow down here. These are the moments you’ll remember long after the day is over.

10:00–11:00 PM | Break Down & Clean Up


This is when all guests have left and the last dance and sendoff are complete. Most Venues have a hard cutoff time so ensuring this final step begins on time is crucial when making sure there is enough time to get everything cleaned up before the rental hours end.
